Privacy Policy

Families share sensitive things with us. Here is exactly what we do with that information.

Information we collect

  • Contact details you give us: name, email, phone, and mailing address.
  • Intake and registration details: household members, participant age, disability or support needs you choose to share, school district, emergency contacts, and what help you are seeking.
  • Waiver records: signature image, typed name, date, time, and IP address.
  • Volunteer, board, and membership application information.
  • Account information if you create a member or board portal login.
  • Messages you send us, including questions asked through our website assistant.
  • Basic technical data such as browser type and pages visited, used only to keep the site working.

What we do not collect

We never see or store your payment card information. All donations, dues, sponsorships, and ticket purchases are handled on Zeffy's platform, and Zeffy's privacy policy applies there.

How we use it

To respond to you, match your family with programs and resources, run registrations and events, keep an accurate membership roster, meet safety and insurance requirements, and report anonymous aggregate numbers (such as families served) to funders and the community.

Who can see it

Your information is visible only to the PDOP staff and board members who need it to do their work. We do not sell, rent, or trade your information, and we do not share it with other organizations for their marketing.

We share information outside PDOP only when:

  • You ask us to, for example when we refer you to an advocate or another agency.
  • A service provider needs it to operate the site (our website host, database provider, and email provider), under an obligation to protect it.
  • The law requires it, or safety requires it, including mandatory reporting obligations.

Children's information

Much of what we do involves children. We collect a child's information only from a parent, guardian, or authorized caregiver, and we use it only to serve that child. Children under 13 should not create accounts or submit forms on their own.

Photos

We take photos at events and programs. Our registration forms ask for photo permission, and you may decline without affecting participation. If a photo of you or your child is published and you want it removed, call us and we will take it down.

How long we keep it

Program and intake records are kept as long as needed to serve you and to meet nonprofit recordkeeping obligations. Signed waivers are retained for the period our insurer and Nevada law require. You can ask us to delete your information and we will honor the request except where we are required to keep a record.

Your choices

You can ask to see, correct, or delete the information we hold about you, and you can opt out of our emails at any time. Call (702) 516-0847 or email staff@pdop.info.

Security

The site runs over encrypted connections and our records are protected by access controls so that each person only sees the data their role requires. No system is perfect, but we take this seriously and will notify you promptly if a breach affects your information.
